About Supplementary invoices and credit notes
- If you want to add charges after the invoice has been created, you can create a Supplementary invoice in SmartPay.
- If you’ve added an item on your approved invoice that shouldn’t be there, or an amount is incorrect you can create a Credit note in SmartPay. Note: Credit note amounts cannot exceed the total invoice amount.
Both can be created at any time after the invoice has been raised and it does not depend on invoice status. However, Supplementary invoice and Credit note buttons are both disabled if your invoice has been archived
We advise you to contact the load poster if you would still like to create a Supplementary invoice or Credit Note.
The Supplementary invoice and Credit note buttons are both located in the “More” menu:
How to raise a supplementary invoice
Step 1) Login on the Exchange, then click on the Accounts Receivable tab located on the side menu
Step 2) Then click on the “Awaiting payment” tab at the top and select the invoice
Step 3) Now open up the menu, positioned next to the “Edit” button
Step 4) The Supplementary invoice option is now visible on the Menu
Step 5) When clicking on the Supplementary invoice button, you are required to fill in the necessary fields to add an item to the invoice
Step 6) You can now click on the “Create” button
Step 7) The Supplementary invoice has now been created and is visible to you
How to raise a credit note
Step 1) To create a Credit note, click on the Credit note button on the Menu
Step 2) Then select a due date and item(s) to remove from the invoice
Step 3) Finally, click on the “Create” button at the bottom of your screen
Step 4) To view the Credit note, click on the “Credit note” option located at the top of the invoice
