Accounts Receivable overview
Within the Accounts Receivable (AR) module of SmartPay you can:
- Access all invoices for loads completed on the platform in a single view
- Search for invoices and track received payments.
You can find Accounts Receivable under SmartPay in the navigation menu to the left of your desktop screen.
Accounts Receivable tabs
SmartPay Accounts Receivable is where you can find all the information you need about current and past invoices. This is split into seven tabs:
Dashboard – a summary of all of your completed bookings and their statuses.
All – a list of all invoices from ready to invoice to paid.
Ready to invoice – completed loads that you haven’t yet invoiced for yet.
Awaiting payment – invoices that have been sent but awaiting payment by the customer.
Paid – invoices that have been paid .
Customers – find all invoices relating to each of your current and past customers organised here where you can also easily sort the data and export to CSV.
Archive – details of any archived invoices.
Accounts Receivable dashboard
The AR dashboard makes it easy to search for invoices and payments and see invoices that require action.
The dashboard has three main sections – Summary, Requiring Attention and Shortcuts.
Summary
This section shows you invoices grouped by:
- pending approval
- awaiting payment
- paid on platform
Changing the time period filter
By default the Summary tab shows invoices from the past month.
To see older invoices click the cog icon in the top right of the Summary box. This pop-up will appear.
You can change the date filter to show invoices from up to three months prior.
Requiring Attention
This section shows you invoices that are:
- overdue
- ready to invoice
Shortcuts
The Shortcuts section provides quick access to key invoice information. For example, you can jump directly to invoices without a Load ID by clicking on the shortcut.
Bulk Actions
Bulk Actions are designed to make your invoicing process faster when dealing with multiple invoices and multiple load posters.
It’s easy to do, check out the simple steps below:
- Initiate Bulk Actions: Begin by selecting the checkboxes next to each record you wish to modify. For an even quicker approach, hit the 'Select All' button to capture every record displayed on the page.
- Choose Your Action: With your records selected, you're now able to choose between several bulk actions:

- Download documents: Securely download all your selected records in just one click.
- Export data: Convert transaction details into a CSV format for easy analysis or reporting.
- Sync invoices: If your accounting software is synchronised, you can send invoices directly to it in bulk.
- Archive: Tidy up your workspace by archiving outdated records. You can also bulk archive paid invoices into your archived folder and unarchive them just as easily.
