When you first log in to Finance Manager, you'll be greeted by multiple invoices. Most – if not all – of these invoices will be older invoices ported directly from The Exchange's old 'accounting' tab. As the invoices are no longer 'live', you may wish to archive them.
NOTE: Your archived invoices will not be deleted. Anything you archive can be retrieved.
To archive older invoices in Finance Manager, first navigate to either Finance Manger's 'Accounts Receivable' or 'Accounts Payable' tab.
Now click 'All'.
Next click 'Filter'.
As you're archiving older invoices, it makes sense to filter by due date, so select 'Due date'. Leave the 'Date from' field empty and add an appropriate 'Date to' date.
Now hit 'UPDATE'.
You'll see a list of your older invoices.
From here, you need to select the invoices you'd like to archive. You can select invoices individually by checking the white boxes to the left of individual invoices. Or you can select all invoices at once by checking the white box in the top left hand corner of the table. (This is next to 'Supplier (ID)' in the accounts payable tab; it's next to 'Invoice date' in the accounts receivable tab.
Once you've made your selection, click the blue 'Archive' link.
If prompted, select an archive reason, then hit 'Archive'.
Your selected invoices will be archived but not deleted. Should you need to, you can retrieve archived invoices in the future.
