Contacts saves you retyping the same addresses. If you post loads to the same places, or work with the same customers, save them once and reuse them on the load form.
Where to find Contacts
Select the Contacts icon on the load form, or the Contacts icon in the Exchange header. Both open the same list of saved contacts.
Saving a contact
Open Contacts and select Add contact.
Choose whether to file the contact by Company name or Contact name. This sets how your contacts are sorted in the list.
Enter the company name and contact name.
Select the country, then search for the address.
Check the address fields and correct Address 1 or Address 2 if you need to.
Add a phone number, email address or notes if you want to.
Select Save.
Fields marked with a red asterisk are required: File by, Company name, Contact name, Country, Search address and Town. You cannot save a contact without them.
To edit a contact you have already saved, open Contacts, select the contact, then select Edit contact details.
Getting the address right
Select the closest match from Search address and the fields below fill in automatically. How many fill in depends on what that address includes, so some results give you more than others.
Address 1 and Address 2 can be edited freely. Add or change anything you need to, such as a unit number, warehouse name or gate reference.
Town and Postcode are set by the address you select and cannot be typed over. To change them, search again and select a different address.
Town and Postcode are greyed out because they are set by the address you select.
Can’t find your exact address? Select the nearest result that has the right town and postcode, then correct Address 1 and Address 2 by hand.
Tip: save full postcodes
It keeps your mileage estimates accurate, and it means you will not need to change the address after posting a load.
Notes
Use Notes for anything worth remembering about a contact, such as site access instructions, opening hours or a booking reference. Notes are private to you and are never shared with other members.
Common questions
Question | Answer |
Why can’t I edit the Town or Postcode? | They are set by the address you select, which keeps postcodes valid for mileage estimates. To change them, select a different address from the search. |
Why won’t my contact save? | A required field is probably empty. Contacts saved in an older version of Contacts can be missing the address or town, which are now required. Fill in the fields marked with a red asterisk and save again. |
Will editing a contact change a load I have already posted? | No. Loads you have already posted keep the address as posted. Your changes apply to loads you post from now on. |
Can anyone else see my notes? | No. Notes are private to you and are never shared with other members. |
