This guide will explain what documents are required for an Owner Driver to get setup on Trustd and become compliant.
You must be logged in to Trustd to provide documents and complete your profile.
Please note: Documents and information must be provided for all directors and Ultimate Beneficial Owners (UBOs) of a company.
Documents for Sole Traders
If you are a sole trader owner driver you will need to provide the following documents.
Identity verification for the business owner
Please provide a clear scanned copy of a document that confirms the identity of the business owner.
You can provide one of the following documents
- Proof of Identity (Passport, or if unavailable, Driving Licence).
- Proof of Residential Address (a bank statement, council tax bill where the Driving license is being used as proof of identity).
Please note: Bank/Utility statements and council tax bills must be dated in the last 3 months.
Right to work
To confirm your right to work in the UK and Northern Ireland please provide a clear scanned copy of your passport.
Please note: If you do not have a UK passport you will also need to provide your right to work sharecode along with a clear scanned copy of your passport.
Right to drive
To confirm your right to drive in the UK and Northern Ireland we need you to provide a clear scanned copy of your driving license.
The license must clearly show the license number, the name, date of birth, and address of the license holder.
Please note: The address on the license must match the residential address you provided.
Insurance
To confirm that you are insured and have all the required insurance to use the Courier Exchange please provide copies of the following insurance documents.
Vehicle insurance
Certificate of motor insurance or fleet certificate only, no other document formats can be accepted
Cover type MUST include Hire or Reward
If the insurance document states business use your company SIC code must be appropriate for transport companies on companies house.
The policyholder must be the LTD company or a named director, if you are a sole trader the policy holder must match the name of the holder of the Trustd profile.
The insurance dates must match the exact dates as shown on your document. Make sure you enter them correctly.
Goods in transit insurance
Certificate of goods in transit insurance is required. Please ensure it shows a minimum cover of £5000. For HX subscriptions it must include a minimum of £1300 per tonne per RHA conditions or a £25,000 lump sum.
The policyholder must be the LTD company or a named director, if you are a sole trader the policy holder must match the name of the holder of the Trustd profile.
The policy schedule job description must state Courier Work, if your goods in transit states Removals it cannot be accepted.
Please note: For insurance documents please ensure you are providing the certificate of insurance in full, and that all key details are clearly visible on the document. Your insurance documents must confirm the start and end date of insurance, the total value of cover, and must confirm that the insurance is valid for the purpose of hire and reward.
Vehicle identity
To confirm the details of your vehicle(s) we need to gather and verify the following information.
- Registration number validation.
- Vehicle Make, Model & year of manufacture.
- MOT status. (MOT must be valid and be in date)
- Road Tax status. (Road tax must be valid and in date)
- Vehicle images.
Please note: When providing images for your vehicle please ensure that the images are clear and that you have taken a picture from each side of the vehicle. (front, rear (with doors open), both sides)
VAT details
If your business is registered for VAT we will need you to provide the VAT number for the business.
If you are not registered for VAT please provide your personal national insurance number.
Documents for limited companies
Owner/Driver accounts for limited companies are required to provide all the information listed above that sole traders are required to provide.
Limited companies will also need to provide the following additional information:
Company details
- Confirmation of registered Company address.
- Verification of Applicant’s Directorship.
- Directorship and shareholding percentages.
Accepted SIC codes
Your limited company must be set up with an appropriate transport SIC code at companies house.
